Access for employees

To manage the user’s access to client information stored in FA, set up the limited visibility feature. For example, you can let advisors view only the portfolios they are responsible for.

Limited visibility can be set up:

  • For each user by linking the user to the clients they are allowed to access.

  • For several users - for example, employees of a company branch. In this case, all users who belong to the branch have access to the data associated with the clients of this branch. Employees of another branch don’t have access to this data. When onboarding a new employee, linking the user to a branch automatically sets up the needed access rights.

Limited visibility affects the following views and windows:

  • The OverviewCustomers and ContactsPortfoliosTransactionsTrade ordersPositionsMarket prices and Analytics+ views show only contacts and portfolios available to the user under their limited visibility settings.

    The Groups include only the contacts and portfolios available to the user under their limited visibility settings.

    The Document management view shows only contacts and portfolios, transactions, and trade orders available to the user under their limited visibility settings.

    The Bookkeeping view shows only postings available to the user under their limited visibility settings.

  • The Rebalance view shows all rebalances conducted by the user or other users who have the same role(s). These include rebalances on the portfolios hidden from the user under their limited visibility settings. The user can manage all the model portfolios available for them according to their user role.

  • The Tasks view shows all tasks in the My tasks, My completed tasks, Tasks assigned to me and Tasks created by me lists. When creating a new task, the Assignee and Owner fields in the Task window feature all users who have at least one common role with the logged-in user.

  • The Report window shows only the Generate reports tab.

Other views aren’t affected by the limited visibility settings. You need to make sure that the user roles assigned to the user don’t allow them to access these views.
